How to connect GLS with easySales: a complete setup guide

How to connect GLS with easySales: a complete setup guide

Connect GLS to easySales: every field on the MyGLS connection form, what each service code needs from the order, the advanced option that prevents the most common refusal, return labels and several pickup locations.

What connecting GLS gives you

With GLS connected, easySales creates the parcel label for an order, prints it, follows the parcel's status, deletes a shipment you no longer need and produces return labels — without you opening MyGLS at all.

This guide covers the whole connection. It gives most of its attention to two things the form does not explain on screen: the Services field, whose codes have no labels anywhere in the interface, and one advanced option that decides whether orders arriving without a postal code can be shipped at all.

Before you start

A MyGLS account

The account you sign in to MyGLS with. The connection uses that e-mail address and password directly — there is no separate API key to request.

Your GLS client number

The numeric client number GLS issued for the pickup location this connection will ship from. It goes in Account ID and is sent with every parcel.

The pickup address

Company name, street, city, postal code, contact person, phone and e-mail for the place GLS collects from. All of it is sent with every parcel, and none of it is taken from your easySales settings.

One connection per pickup location

One client number, one pickup address and one service list per connection. Two warehouses, or two different service sets, means two connections.

Step 1 — Find the right GLS card

Go to Integrations → Couriers and search for gls. In the newer navigation the same page sits under Integrations → Delivery → Couriers.

The Couriers page in easySales filtered to GLS, showing connected GLS Hungary and GLS Romania cards and further GLS cards for Romania, Croatia, Czechia, Slovakia and Poland that are not connected.
Integrations → Couriers filtered to GLS. Romania appears twice — the MyGLS card and the older GLS Romania one.

Press Connect on the card, or Edit if you have connected it before.

Step 2 — Credentials and pickup address

The top of the GLS connection form in easySales, showing Connection Name, Username, Password, Account ID and the sender name, address, city and postal code.
Your MyGLS sign-in, the client number, and the address GLS collects from.

Username, Password and Account ID are your MyGLS credentials: the e-mail address you sign in to MyGLS with, its password, and the numeric client number GLS gave you. easySales signs in on every request, so there is nothing to renew later.

The Sender block underneath is the address GLS collects from. It is sent with every parcel and it is not taken from your easySales company settings — fill it in even if it is the same address.

Step 3 — Services and AWB format

The GLS connection form showing Sender Contact, Sender Phone, Sender Email, a Services field holding the FDS and SM2 codes, and AWB Format set to A4_2x2.
Services are added to every parcel from this connection. AWB Format is the layout GLS renders.

Services is the field worth slowing down on. It holds GLS's own service codes with no explanation next to them, and whatever you put there is added to every parcel created on this connection.

Code What easySales sends with it What it needs
SM2 The recipient's phone number. A phone number on the order.
FDS The recipient's e-mail address. An e-mail address on the order.
FSS The recipient's phone number. A phone number, and FDS on the same connection — GLS refuses FSS on its own.
SAT Nothing — GLS's Saturday service, sent as a plain flag. Nothing, but GLS has to offer it on the destination.
PRS Nothing. easySales removes cash on delivery from any parcel that carries it. Nothing.
XS Nothing. Nothing.
COD Added automatically when the order has money to collect, with the amount and the order number as reference. Never tick it — it is not in the list.
PSD Added automatically when the order goes to a GLS ParcelShop or locker, with the locker's id. Never tick it — it is not in the list.
The service codes, and what each one needs from the order

AWB Format is not a printer setting. It tells GLS which layout to render the label in, and the file you get back is in that format.

Value What it is
A4_2x2, A4_4x1 Four labels on one A4 sheet, arranged two by two or four in a row. The usual choice for an office printer.
Thermo, ShipItThermoPdf A single label sized for a thermal printer, as a PDF.
ThermoZPL, ThermoZPL_300DPI, ShipItThermoZpl The same label as ZPL printer commands rather than a PDF, for a Zebra-compatible printer. Pick the 300 DPI variant only if your printer is a 300 DPI model.
Connect GLS's Connect layout.

Step 4 — The notes template

The notes template of a GLS connection in easySales, with the Order and Products variable buttons above a box containing an order number and a quantity and SKU list.
The notes template becomes the parcel's content description on the GLS label.

Whatever the template produces is sent to GLS as the parcel's content description and is printed on the label. The buttons above the box insert values from the order and from its products — order number, invoice series, quantity and SKU, warehouse location.

Step 5 — Printing settings and advanced options

Both sections are collapsed and neither is required — but one of the three advanced options is the single most useful setting on this form.

The expanded printing settings and advanced options of a GLS connection, showing Paper size, Scale type, Try to autodetect postal code set to Yes, Generate packages based on the number of packages of the product, and Send customer name as reference.
Try to autodetect postal code is the setting that prevents the most common GLS refusal.
Setting What it does
Paper size / Scale type Only used when you print through the easySales Printer connection, and only for this courier, overriding the printer's own defaults. This is not the same as AWB Format: GLS decides what the label looks like, these decide how it lands on paper.
Try to autodetect postal code Off by default. When the order has no postal code, easySales looks one up from the county, city and street before sending the parcel to GLS. Without it, those orders are refused outright.
Generate packages based on the number of packages of the product Counts the parcels on the label from the package count set on each product in the order, instead of always sending one.
Send customer name as reference Off by default, and worth turning on. The parcel's client reference is otherwise sent empty, which makes parcels hard to recognise in MyGLS and on the GLS invoice. With it on, the customer's name is sent instead.

Step 6 — Return labels

The connection form has two tabs, Delivery account and Return account. A return connection is a separate connection with its own credentials, and it adds the address the parcel comes back to.

The Return account tab of a GLS connection, showing return address name, street, city, phone, contact, postal code and email.
A return connection replaces the sender block with the address the parcel comes back to.

The Return address block replaces the sender block: name, street, city, phone, contact, postal code and e-mail. It is what GLS prints as the destination of a return label, so it can be a different address from the one you ship out of.

More than one pickup location

A connection carries one MyGLS client number, one pickup address and one set of services. Ship from two warehouses, or ship some orders with a different service, and you need two connections.

The three-dot menu open on the GLS Romania card in easySales, showing Connect another courier account, Documentation and Register.
A second pickup location means a second connection, added from the card's ⋮ menu.

Open the menu on the GLS card and choose Connect another courier account, or open an existing connection and press Clone — everything is copied and " (cloned)" is added to the name, which you should then change. Each connection appears by its Connection Name when you create a label.

Creating labels

From What you get
The orders list, one or more orders selected, Generate AWB One label per order, on the connection you pick by its name, using everything saved on it.
The order page The same, plus what a connection cannot hold: the number of parcels, the weight and the cash-on-delivery amount for this order alone.
A return Uses the connections on the Return account tab, and prints the return address saved there.
Where labels are created

When GLS refuses a label

GLS answers with a description of what is wrong, and easySales puts that description on the order unchanged. Almost every refusal is one of the following.

What GLS says What to do
Missing mandatory data in 'Delivery Zip Code' The order has no postal code. Turn on Try to autodetect postal code under Show advanced options, or add the code to the order.
Invalid data in 'Delivery Zip Code' There is a postal code but GLS does not recognise it for that country — often a code from the wrong country, or one with letters or spaces GLS does not expect.
Invalid service parameter, Service 'FSS' / 'SM2' The service needs the recipient's phone number and the order has none, or the number is not in a form GLS accepts.
Missing mandatory service parameter, Service 'FDS' FDS needs the recipient's e-mail address and the order has none.
Invalid data in 'Delivery Contact Email' The e-mail address on the order is not valid.
Service not available to country, Service '...' That service is not offered at the destination. Remove it from the connection, or use a second connection for cross-border parcels.
Service matrix violated, Service '...' GLS does not allow that combination of services together.
FSS service is not available without FDS Add FDS to the connection as well, or remove FSS.
Missing mandatory data in 'Service' 'PSD' The parcel is going to a ParcelShop but no ParcelShop was chosen on the order.
Cod amount exceeded for 'Cod Amount' / Cod not allowed for 'Client Id' Your GLS contract limits, or does not include, cash on delivery. It is settled with GLS, not in easySales.
Unauthorized. Username, password or Account ID is wrong on the connection.
Too many failed login attempts. Your account has been locked until HH:MM. GLS has locked the MyGLS account after repeated wrong sign-ins. Fix the password on the connection and wait until the time GLS gives.
Same request sent 5 times within last 5 minutes GLS's own duplicate protection. Wait a few minutes rather than pressing again.

Frequently asked questions

The one with the current GLS mark — that is the MyGLS connection, and it is the one this guide describes. The other card shows the older GLS logo with a yellow arrow and connects to an earlier GLS Romania interface with a different form and fewer settings. New connections should use the MyGLS card.

Username and Password are the MyGLS sign-in for your account — the e-mail address and password you use on the MyGLS site. Account ID is the numeric client number GLS issued for the pickup location, and it is sent with every parcel. There is no separate API key.

GLS will not accept a parcel without a delivery postal code, and orders from marketplaces often arrive without one. Open the connection, expand Show advanced options and set **Try to autodetect postal code** to Yes — easySales then works the code out from the county, city and street on the order before sending the parcel. Orders that already have a postal code are unaffected.

They are GLS's own service codes, and easySales sends them exactly as GLS defines them. What matters when you set the connection up is what each one carries: SM2 and FSS send the recipient's phone number, FDS sends their e-mail address, and SAT, PRS and XS are sent as plain flags. Which of them your account may use is part of your GLS contract.

No. Every service on the connection is added to every parcel created with it. Sellers who need different services for different orders keep a second connection and choose between them when they create the label.

No, and COD is not in the list. easySales adds it by itself when the order has money to collect, along with the amount and the order number as the reference. The same is true of PSD, which is added when the order goes to a GLS ParcelShop.

The client reference is sent empty unless you ask for something in it. Open the connection, expand Show advanced options and set **Send customer name as reference** to Yes — the customer's name is then sent with every parcel and appears in MyGLS and on the GLS invoice.

AWB Format is sent to GLS and decides the layout of the label they produce — four to an A4 sheet, a single thermal label, or ZPL commands for a label printer. Paper size under Printing settings only applies when you print through the easySales Printer connection, and it overrides your printer's default for this courier alone.

Open the ⋮ menu on the GLS card and choose Connect another courier account, or open an existing connection and press Clone to copy all of its settings. Each connection has its own client number, pickup address and services, and you pick between them by Connection Name when you create a label.

Yes. GLS Romania, Hungary, Croatia, Czechia, Slovenia and Slovakia all use this form and this guide — each is its own card, with its own MyGLS account for that country. GLS Poland is a separate card with a different form.
