How to connect Empik with easySales: a complete setup guide

Connect Empik to easySales: API key and Shop ID, VAT and delivery settings, order acceptance, linking the offers you already have and sending new products.

What connecting Empik gives you

Empik is one of Poland's largest marketplaces. Connected to easySales, it brings your Empik orders into easySales, lists your products on Empik as offers and keeps their price and stock up to date. The offers you already have on Empik are imported too.

Two things to know before you begin:

  • Offers you already have on Empik must be linked to your products. They are imported unlinked. Until you link them, they receive no price or stock from easySales, and orders for them arrive without a product, so no stock is reserved.
  • An order arrives once it is accepted on Empik. Empik orders wait for your acceptance, and easySales imports them after that. Turn on Auto-accept orders to have easySales accept them for you.

With access to the seller panel at marketplace.empik.com, where you generate the API key.

Empik finds each product in its catalogue by EAN, and creates it from the EAN when it is new.

Whether you are a VAT payer in Poland decides the Default Tax Rate you set.

Step 1 — Get your API key and Shop ID from Empik

  1. Log in to the Empik seller panel at marketplace.empik.com.
  2. Press the user icon in the top right corner and open Ustawienia osobiste.
  3. On the Klucz API tab, generate the API key, or copy it if you already have one. This is the App token easySales asks for.
  4. Note your Shop ID — the number of your shop in the Empik seller panel.

Step 2 — Connect Empik in easySales

Go to Integrations → Marketplaces, search for empik and press Connect on the Empik card — or Edit, if you have connected it before.

Fill in the first fields and press Continue:

Field What goes in it
Connection Name A name you will recognise inside easySales, for example Empik Demo Store.
New order custom status Optional. A custom status of yours that new Empik orders receive when they are imported.
Shop ID The number of your shop in the Empik seller panel.
App token The API key from Ustawienia osobiste → Klucz API.
Connection details

Continue checks the Shop ID and the App token with Empik and starts the first import of your offers and orders. The rest of the form then appears, and the button becomes Save.

Step 3 — Prices, VAT and delivery

Field What it does
Price Addition A percentage added to the product's price for Empik. It is saved on each offer when the offer is created, so a change applies to new offers only.
Default shipping tax The VAT rate of the shipping on imported orders — 23 for a Polish VAT payer.
Invoice Series The invoice series used for Empik orders when you issue invoices.
Default Tax Rate The VAT rate used for your Empik orders and prices. 0 means you are not a VAT payer.
Logistic class, Condition Read from your Empik account after Continue. Every offer from easySales is sent with the logistic class and condition you choose here.
Delivery Days How many days you need to ship an order. A product's own handling time takes its place.

Press Save. easySales checks the Shop ID and the App token with Empik again on every save.

Step 4 — Additional settings

The Additional settings tab, above the form, holds four more switches.

Setting What it does
Send offer prices to marketplace Yes keeps the prices on Empik in step with easySales. No stops price updates after an offer's first send.
Send offer stock to marketplace Yes keeps the stock on Empik in step with easySales. No stops stock updates after an offer's first send.
Automatically enable offers when products have stock Turns an offer back on when its product comes back into stock.
Auto-accept orders Yes has easySales accept every new Empik order, so it can be imported. No leaves acceptance to you in the Empik seller panel.
Additional settings

Your existing Empik offers are imported into Marketplaces → Offers, on the Empik tab. An imported offer is greyed out and marked as not linked until you attach it to a product in easySales.

  • Link, on the offer's row, attaches that one offer to a product you choose.
  • Link to product does the same for the offers you have selected.
  • Marketplaces → Autolink matches your Empik offers to your products in bulk, by SKU or EAN.

Once an offer is linked, easySales sends it the product's price and stock, and new orders for it arrive with the product attached.

Step 6 — Send your products to Empik

Open Products → Virtual Shop → Products and filter by Without offers on → Empik, so you only see products that are not on Empik yet. Then press Add offer under a product, or select several and use Add offer(s) on.

easySales looks the product's EAN up in Empik's catalogue first:

  • If Empik already has the product, only your offer is sent: price, stock, condition, logistic class and delivery days.
  • If it does not, the product itself is sent first — name, description, images, EAN, VAT and the Empik category and characteristics you mapped — and the offer shows In validation until Empik approves it.

For a new product, map your categories to Empik's under Categories first, and fill in the characteristics Empik marks as mandatory. Before anything is sent, easySales checks the offer itself:

Error What it means
3400 Missing product name The product has no name.
3416 Invalid name The name is longer than 80 characters. Shorten it on the offer.
3401 Invalid product price The price is below 0.10.
3403 Missing product images The product has no image.
3409 Missing EAN The product has no EAN, which Empik needs to find or create the product.
3407 Missing category A new product has no Empik category. Map its category under Categories.
3405 Mandatory characteristics missing A new product lacks a characteristic Empik requires for its category. Fill it in on the offer.
Checks before an offer is sent

Orders from Empik

  • New orders are fetched every minute, and Synchronize orders on the connection fetches them on demand.
  • Status: an order Empik has shipped, received or closed becomes Completed in easySales; a refused or cancelled one becomes Canceled.
  • Parcel lockers: an order to a parcel locker arrives with the locker's code, ready for a locker label.
  • VAT: the order's products and shipping are split with the connection's Default Tax Rate and Default shipping tax.

When an offer is refused

The reason is shown in the Errors column of the offer. The one you are most likely to see from Empik itself:

3410 Product reject by Empik — The discount price is incorrect: must not be null or must be lower than price The offer has a sale price above its full price. Make the full price equal to or higher than the sale price, then resend the offer.

Frequently asked questions

It is your Empik API key. In the Empik seller panel, press the user icon in the top right corner, open Ustawienia osobiste and the Klucz API tab, and copy the key into App token in easySales.

Empik releases an order only after you accept it and the customer's payment clears. Accept the order in the Empik seller panel, or set Auto-accept orders to Yes under Additional settings so easySales accepts new orders for you.

Link them to your products in Marketplaces → Offers, on the Empik tab: use Link on a row, Link to product for a selection, or Marketplaces → Autolink to match them in bulk by SKU or EAN. Until then they get no price or stock from easySales.

The order is for an offer that is not linked to a product in easySales, so no stock is reserved for it. Link the offer; the orders that come in after that carry the product.

The connection's Default Tax Rate is 0, which means not a VAT payer. Set it to 23, and Default shipping tax to 23, and save.

Price Addition is saved on each offer when the offer is created, so the new value applies to offers you create from then on.

The product was new to Empik, so easySales sent the product itself, and Empik is reviewing it. The offer shows Approved once Empik accepts it.

The offer's sale price is higher than its full price. Set the full price equal to or above the sale price and resend the offer.

easySales removes the connection together with its Empik offers and orders, and asks you to confirm first.
