About the role

This role supports the full operational workflow of the easySales conference. You manage prospecting, outreach, coordination with speakers and partners, venue logistics, supplier communication, and day-to-day execution. The focus is on structure, follow-up, and reliable operations — every part of the event aligned, documented, and delivered on time.

Responsibilities

  • Support the planning of the event concept, theme, agenda, and flow
  • Maintain updated lists of potential speakers, partners, and exhibitors
  • Run outreach by phone and email to prospect, present the event, and collect confirmations
  • Coordinate scheduling and availability with speakers and partners
  • Work with suppliers for banners, print materials, badges, and branded assets
  • Support outreach to potential sponsors and partners
  • Follow up on offers, requirements, and contract details
  • Maintain clear documentation for each partner: status, deliverables, deadlines
  • Provide content and updates for event listings, newsletters, and social media
  • Coordinate with Marketing on announcements, campaigns, and partner visibility
  • Track supplier costs, offers, and budget changes
  • Prepare progress reports on open items and risks

Requirements

  • 0–2 years experience in event organizing, operations, sales support, or admin roles
  • Strong communication skills in Romanian and English
  • Proficient with AI workflows and prompts — easySales uses AI heavily across every team and we expect new hires to lean on it daily
  • Comfortable making daily calls and doing structured outreach
  • Organized and reliable — able to manage many small details
  • Comfortable with deadlines and structured workflows
  • Familiarity with Google Docs, Sheets, and Calendar
  • Persistence, follow-up discipline, and a practical mindset

What success looks like in 90 days

  • Speaker, partner, and supplier pipelines are tracked in one place with clear status for each
  • You're the person the team trusts to know who confirmed what and when
  • You've owned end-to-end coordination of at least one major event milestone (e.g. speaker confirmations or supplier deliverables)
